About the role

Primary Role

Plan and undertake administration of contracts, Rail projects and support services within the Company.


  • Have a good working knowledge of Project related administrative work.
  • Ability to work without supervision and in a teamwork environment
  • Provide feedback & weekly reports, ensure timely execution of work assigned, and manage appropriate documentation and all other tasks assigned
  • Assist in managing document control process
  • Assist with competency, licensing and membership
  • Perform clerical tasks and operate basic office equipment.
  • File and maintain written and electronic documentation and correspondence.
  • Prepare materials for design and construction meetings; record meeting minutes.
  • Receive, sort, and log all incoming deliveries; prepare all outbound deliveries
  • Ensure procurement of office supplies and consumable materials
  • Provide maps and directions for visitors to the site; including subcontractors, new employees, and delivery personnel
  • Provides support to the implementation of projects, focusing on achievement.
  • Maintain up-to-date files and records of project documentation;
  • Provide logistical support for Project Board meetings and other meetings;
  • Prepares correspondences, translation of documents and researches, as requested;
  • Support administrative tasks related to contracts signature and distribution;
  • Support the project manager in administrative tasks related to routine implementation of projects;
  • Support travel arrangements related to projects and for the programme unit (preparation of Travel Authorizations, follow-up of travel reports, etc);
  • Perform any other tasks assigned by the supervisor.

  • Compliance with Quality, Competency, OHS, Environmental and Safety requirements

Skills and experience


University degree in administration, social sciences, international relations or related area.

Knowledge/Experience Requirements:

  • Minimum of 3 years' experience in supporting the implementation of projects;
  • Previous experience in the organization of meetings and events;
  • Experience in the usage of computers and office software packages (MS Word, Excel, Power Point, etc.
  • Demonstrated capacity to undertake assigned responsibilities and work under pressure;
  • An excellent team player.
