The opportunity

Challenge yourself in this busy role which provides a variety of duties from supporting a very busy Senior Manager to liaising and interacting with a geographically spread team to ensure that reporting and all matters related to the program are collated and presented holistically.

You will be undertaking a range of program research, analysis, reporting, implementation and administrative activities to support the development, delivery of programs, in line with established project plans and objectives.

What you will be involved in:

  • Leading and coordinating the development, monitoring and reporting of program management systems to ensure the timely and accurate provision of programs and reports.
  • Providing a central liaison point including managing internal and external enquiries such as ministerial correspondence
  • Coordinating system and process improvements, consistent application of user procedures and the integrity and maintenance of program data and record management systems to ensure best practice and continuous improvement.
  • Organising meetings and conferences including arranging venues, catering, sending invitations, and preparation of agendas and meeting documentation.
  • Providing human resource and financial management support when required through the reconciliation of accounts and personnel timesheets, procurement of goods and services, administration of budgets and monitoring of expenses.

About you

You will be a professional administrator with strong Executive Assistant skills supporting a Senior Manager who does spend a lot of time working remotely, and a geographically dispersed team.

Integrity and discretion are key to this pivotal role where you will be involved in a large amount of highly confidential matters. You will be a team player who is happy to work autonomously, self motivated and proactive to ensure that yours and the deadlines of the Senior Manager and team are met.

Your strong organisational and analytical skills are essential to enable you to assist the Senior Manager in his role, which along with a varity of tasks will involve you in collating reports analysing, interpreting and highlighting specific areas requiring focus.

You will constantly be liaising with sector managers, organising meetings and conferences as required, you will be involved in diary management and prioritising tasks for the Senior Manager.

Excellent communication and computer skills are a must.

Essential requirements

  • Demonstrated experience in providing high level clerical and administrative services
  • Demonstrated understanding and experience in program management and the delivery of systems to support program management.
  • Demonstrated capacity to exercise a high level of discretion, confidentiality and political sensitivity in liaising with internal and external stakeholders.
  • Demonstrated knowledge of financial management systems (eg. Equip, SAP).

Salary and Benefits

The salary for this position is USS Grade 5 ($77,643 - $81,597) per annum plus superannuation and leave loading.
